Garguile Law, PLLC is a high-growth, virtual-first boutique firm focused on misdemeanor criminal defense (primarily DUI) and traffic ticket defense across Western Washington. We’re looking for an experienced intake specialist who communicates clearly, shows empathy, and knows how to guide conversations.

Position is open to international candidates, but work hours are set from 9am-5pm Pacific Time.

About This Position

An Intake Specialist serves as the primary point of contact for new clients or patients, responsible for gathering information, determining eligibility for services, and initiating onboarding. They conduct assessments, manage documentation, verify insurance or legal details, and schedule appointments, ensuring a smooth transition into services.

Primary Responsibilities

  • Initial Assessment & Triage: Interviewing clients to gather personal, medical, or legal history to assess needs and determine eligibility.
  • Data Management: Accurately entering client information into databases, processing forms, and maintaining records in compliance with privacy regulations like HIPAA.
  • Cerification: Confirming insurance coverage, income eligibility, or legal conflicts of interest.
  • Coordination & Scheduling: Booking initial appointments, directing clients to the appropriate departments, and coordinating with staff.
  • Communication & Follow-up: Answering inquiries, explaining services, and checking in with prospective clients.

Required Qualifications

  • Communication: Strong verbal and written skills to interact with clients, families, and professionals.
  • Empathy and Interpersonal Skills: Ability to work with individuals in crisis or poor health.
  • Organization and Detail-Orientation: Managing multiple cases, documentation, and filing efficiently.
  • Tech-Savviness: Proficiency with CRM systems, databases, and Microsoft Office Suite.
  • Critical Thinking: Ability to identify urgent cases and prioritize tasks.
